Provide executive level administrative support to the Vice President for Human Resources. Prioritize and expedite daily issues requiring the Vice President’s review and action. Manage the Vice President’s appointment schedule, make departmental travel arrangements, and prepare documents and reports, and complete budgetary activities associated with travel and purchasing. Provide administrative support to the Assistant Vice President for Human Resources and support departmental projects as needed.
Required Qualifications:
Considerable knowledge of office practices and procedures. Considerable knowledge of Microsoft Office Suite (including Word, Excel, PowerPoint) and other presentation design software (i.e. Canva).Working knowledge of client server systems (e.g. Banner, PeopleSoft or a similar program). Working knowledge of effective problem resolution techniques. Excellent oral, written and interpersonal communication skills. Demonstrated ability to exercise judgment and to interpret administrative policies and procedures. Demonstrated ability to coordinate and plan executive level administrative support activities. Demonstrated ability to maintain confidentiality. Demonstrated ability to function with limited supervision and independence; ability to be flexible by making quick changes and updates to the daily schedule of tasks and events. Demonstrated ability to record, organize and analyze data. Demonstrated ability to coordinate meetings, schedules, and travel arrangements.
Demonstrated ability to provide exceptional customer service. Demonstrated ability to prioritize and manage multiple projects in a timely manner, while producing quality work. Considerable experience providing administrative support to an executive level administrator. Considerable experience drafting, preparing, and editing all manner of correspondence, reports, spreadsheets, presentations, agendas, memos, and minutes. Some budgetary experience.
Preferred Qualifications:
Working knowledge of Commonwealth of VA policies and procedures, and procurement processes. Some experience in a higher education setting. Some experience in a human resources department. Some experience with Banner.
Conditions of Employment:
This position will be employed on campus to perform in-person executive support and customer service. Standard departmental operating hours are 8am to 5pm. There may be occasional (although rare) instances to work outside of the standard departmental operating hours.
